We are looking for a Coordinator , Skills Management to join our team in the Montreal office .
The Coordinator, Talent Management contributes to local and national human resources and professional services programs by providing a high level of customer service. He or she builds strong relationships with members of the firm and external stakeholders, in addition to supporting employees at every stage of their journey and playing an important role in the administration, recruitment and execution of procedures.
Main Responsibilities:
Administrative coordination
- Monitor the activities of the human resources and professional services department;
- Write correspondence and emails, transcribe notes;
- Coordinate and participate in human resources and professional services activities;
- Support the team by carrying out certain administrative procedures.
Human Resources Department
- Actively contribute to corporate culture and corporate activities;
- Support the activities and monitoring of skills development of the firm’s employees;
- Participate in the recruitment and integration process of new employees;
- Carry out administrative actions relating to hiring, terminations, changes, etc.;
- Participate in employee departure procedures;
- Record and prepare reports for the management team;
- Check that employee file documents are complete and follow up as needed;
- Ensure coordination of maternity/paternity leave and other absences: prepare notices and initiate required procedures;
- Participate in the OHS committee and social committee.
Professional services
- Support and coordinate events related to law students (sponsorships, activities, Facebook page, etc.);
- Help with recruiting students/lawyers:
- Actively participate in, support and coordinate law student recruitment activities: sort CVs, prepare statistical reports, schedule interviews, prepare offer letters, etc.;
- Support the Montreal public relations team for lateral recruitment of lawyers: organize interviews with candidates and lawyers, prepare offer letters, etc.;
- Support the performance evaluation process and prepare reports;
- Assist in the evaluation process:
- Support the Montreal public relations team in the evaluation process of summer students, interns and lawyers;
- Prepare and send to the Quebec Bar the reports and various forms for the interns;
- Organize and support various events for legal staff;
- Participate in various special department projects;
- Draft correspondence and perform various administrative tasks.
Performance management
- Perform ongoing updating of employee groups, and provide end users with technical support and training on software;
- Prepare documents and reports regarding performance evaluation;
- Communicate with the individuals concerned to verify that they are carrying out ongoing monitoring and thus ensure that assessments and self-assessments are carried out within the prescribed timeframes;
- Record evaluation results and prepare reports for directors and managers.
Additional tasks
- Update master data and various lists;
- Support the skills management and professional services department as needed;
- Support the team in transmitting information to payroll and group insurance.
Special projects
- Participate in human resources and professional resources projects and initiatives as needed;
- Support language services during absences and in various administrative tasks;
What you will bring to Miller Thomson:
- Two to three years of experience in a coordination support position, preferably in a human resources context.
- Post-secondary education in administration, business administration or human resources.
- Experience working in a firm, an asset.
- Given the nature of the work involving communicating with members of the firm working in all our offices, bilingualism in French and English with excellent oral and written communication skills in both languages is highly valued;
- Excellent command of MS Office suite (Word, Excel and PowerPoint) and human resources management systems.
- Ability to quickly learn new tools and software.
